Company, services and contact

The controller for its own enquiries, recruitment, service support and website operations is EUROWIZA Sp. z o.o., ul. Stanisława Leszczyńskiego 4/25, 50-078 Wrocław, Poland, KRS 0000749448, NIP 8971859545. Contact info@eurowiza.com or the company's postal address about personal data.

EUROWIZA operates in three areas: recruitment and employment assistance, visa support, and residence and work legalisation. Recruitment involves candidates, remote recruiters, partner agencies and employers. The employer and employment arrangements depend on the selected vacancy; contacting EUROWIZA does not itself create an employment contract with EUROWIZA. Roles when processing on a partner's behalf are determined by the agreement for that process.

EUROWIZA uses both models: it contracts directly with workers and refers candidates to partner agencies or employers for engagement. Direct engagement uses both umowa o pracę (employment contract) and umowa zlecenia (civil-law mandate contract). The contracting party and contract type are established for each offer before signing. For its own engagements, EUROWIZA also processes data as the employer or client under the contract.

2. Data and sources

Candidates contact us directly or through a remote recruiter, the website, telephone, company email, messengers or an application on a recruitment platform. Depending on the request, we process names, contact details, CVs, experience and qualifications, communication language, city, job preferences, availability, accommodation needs, citizenship and documents necessary for lawful employment. The scope depends on the vacancy and service.

The employer form requires a company name, contact person's name, telephone number and consent checkbox; staffing requirements are optional. The submission is emailed to the company service address with the referring page URL. Missing required fields prevent submission.

The recruiter portal stores candidate names and telephone numbers, optional email and notes, vacancy and recruiter details, confirmation of the data transfer, drafts, application stages, correspondence, tasks and remuneration terms. Authorised users may upload application-document photographs. Recruiter settlements use confirmed work starts, time worked and the agreed cooperation terms.

Visa, residence and work-authorisation support may require identification and passport details, citizenship, current visas or permits, employment and case information, and relevant documents and correspondence. The necessary procedure and its requirements determine the scope. Do not send health information, criminal-record information or unnecessary copies without a separate justified request and an appropriate legal basis.

After the vacancy and candidate's readiness for referral are agreed, necessary data is sent to the specific partner or employer for consideration. The response, agreed start date and subsequent stages are recorded in the workflow. For a recruiter referral, that recruiter is the source. Information about the source and EUROWIZA's processing must be provided at first contact, or, if there is no contact, within the applicable period, generally no later than one month; an earlier disclosure to another recipient requires notice no later than that first disclosure. This is a process requirement, not confirmation that every historical notice has been delivered.

When entering into and performing its own contracts, EUROWIZA processes necessary identification, contractual, payment and settlement details, working-time information, and tax and social-insurance data. Personnel documents and legally required medical fitness certificates are processed only to the applicable extent; this does not justify requesting a full medical history.

3. Purposes and legal grounds

Data is used to respond, clarify preferences, find and agree a vacancy, refer a candidate to a specific partner or employer, arrange the work start, support visa or legalisation services, operate the portal, communicate with businesses and handle settlements.

Article 6(1)(b) GDPR applies where you request an EUROWIZA service and the data is necessary for steps before a contract with you or its performance. Correspondence with business representatives, coordination, security and protection of justified claims may rely on Article 6(1)(f); the interests are handling business enquiries, organising cooperation and protecting systems and rights. Necessity and a balancing assessment are required; this is not an automatic ground for every item of candidate data.

Mandatory reporting and record keeping rely on Article 6(1)(c) where a specific applicable duty exists. Processing requiring consent, including optional analytics and the future-vacancy pool based on separate consent, relies on Article 6(1)(a). Grounds and EUROWIZA's role for disclosures under each partner agreement are recorded separately; special-category data also requires an Article 9 condition, and criminal-record data must meet Article 10.

Providing data through the website is voluntary, but without required contact details and information necessary for the particular procedure we cannot handle that enquiry or service. Analytics consent does not cover newsletters, future-vacancy retention or disclosure to all employers.

For direct engagements, processing necessary to enter into and perform a contract relies on Article 6(1)(b), while applicable employment, tax and social-insurance duties rely on Article 6(1)(c). Future-recruitment consent does not replace these grounds or determine mandatory retention of personnel and settlement records.

4. Recipients, working systems and transfers

inFakt (https://www.infakt.pl/) is used for EUROWIZA’s accounting. Accounting services involve processing information from documents provided for record keeping and settlements, to the extent necessary for that purpose.

Authorised EUROWIZA staff process data; a recruiter receives information about applications within their work. Necessary candidate data goes to the specific partner agency or employer involved in the agreed referral. Visa and legalisation cases may involve competent authorities and participants in the relevant procedure, limited to what is needed. Accounting and legal specialists receive data necessary for their functions.

Kommo is used for contacts, enquiries, correspondence, stages and working relationships. Google Drive is used for corporate and case documents; the CRM may hold links and statuses. The WordPress portal separately stores applications, drafts, working records and uploaded documents with access restrictions. Using Drive does not mean that all CRM or portal files are automatically copied there.

Make supports integrations and automation; verified tests processed a test enquiry and correspondence. This does not mean every scenario processes all candidates' data. Airtable is the main vacancy database and Trello the working catalogue; publishing candidate forms or passports in the public vacancy catalogue is not part of the process. Personal data in linked internal tables requires a separate scope check.

Communication uses company email, Telegram, WhatsApp, Viber and Zadarma telephony, depending on the enquiry and connected channels. Google Analytics operates on the website with analytics consent. Hosting, email, storage and technical-service providers support these processes. Facebook and Instagram links open external services.

Some cloud providers may process data outside the European Economic Area, including in the USA. Google and Kommo describe international transfers and applicable protection mechanisms in their published terms; the specific mechanism depends on the service, recipient and contract. You may request information about recipients, processing countries and applicable safeguards, and access to copies of the relevant safeguards, at info@eurowiza.com. Storage of all data exclusively within the EEA is not guaranteed.

Toloka Space (https://toloka.space) provides hosting for eurowiza.com.

5. Retention periods

Confirmed company rules. A future-vacancy profile is retained for up to 12 months from the candidate’s separate consent, which may be withdrawn earlier. Extension requires new separate consent; ordinary correspondence does not automatically extend retention. This consent does not permit retaining unnecessary document scans.

If a candidate was not engaged and recruitment has closed, unnecessary scans are deleted within 30 days after recruitment closes. This rule does not cover documents genuinely required for a separate ongoing matter, a legal obligation or justified protection of claims. Such retention requires a separately documented purpose, ground, period and access restriction; it does not justify keeping the entire document set.

Mandatory records for EUROWIZA’s own umowa o pracę and umowa zlecenia contracts are separated from recruitment records. For employment relationships beginning on or after 1 January 2019, personnel records are generally retained during employment and for 10 years from the end of the calendar year in which employment ends. Earlier employment and special cases follow separately determined statutory periods. For umowa zlecenia, retention of contractual, settlement, tax and social-insurance documents depends on their category; no single period is assigned to the whole contract. Withdrawing future-recruitment consent does not override mandatory retention under another legal ground.

The company has also approved these rules: an incomplete candidate form that the recruiter has not submitted is deleted after 30 days without changes. A company enquiry that does not lead to a contract is retained for up to 12 months after the last substantive contact, then deleted or anonymised. A submitted application is not an incomplete draft; once a contract is concluded, the relevant retention category for contractual records applies.

The rule for other working data has also been approved. Current recruitment: until referral and related actions end, then deletion or anonymisation of unnecessary working data within 30 days. Deletion periods for visa and legalisation scans and retention of those case files, settlements and evidence of claims require document-specific grounds and periods; the rule for an unsuccessful candidate does not automatically apply to them.

Approved technical periods: ordinary logs, 90 days; backups, a target limit of no more than 35 days from creation, to be implemented after checking hosting capabilities; GA4 user and event data, 2 months. Justified incident evidence has a separate period. The GA4 setting does not determine retention of all aggregated reports. The company has approved these decisions; actual implementation and settings in each system are verified separately.

Consent withdrawals and justified erasure requests are handled without undue delay; scheduled cleaning does not justify postponing them. Approval of rules does not confirm technical deletion: execution across CRM, email, Drive, the portal and backups requires separate verification.

Deletion from working systems and final removal of residual provider copies may occur on different schedules. The 35-day target concerns website backups and its implementation is still being checked; it does not promise removal of every copy across all cloud services within that period. Removing an item from the interface or moving it to trash does not by itself confirm final deletion of copies.

6. Cookies and analytics

Google Analytics loads only after you choose “Allow analytics”. Before a choice and following a saved refusal, the external tag does not load on a new page. Refusal does not prevent use of the website or forms. Your choice is stored in this browser's localStorage as
eurowiza_privacy_v2
until changed or browser data is cleared. An updated consent version asks for your choice again.

Analytics uses identifiers and information about visits, interactions, browsers and devices, including cookies in the
_ga
family. GA4 user and event data retention is set to 2 months; automatic renewal of user-data retention on new activity is disabled. The
_ga
and
_ga_<identifier>
cookies have a default lifetime of up to 2 years, renewed on activity; browsers may shorten it. The Google tag cookie override is not enabled. Cookie lifetime is separate from GA4 data retention. Advertising consent is not granted. Withdraw analytics consent through Cookie settings in the footer: the handler disables GA4 and removes accessible
_ga
cookies. Technical portal-session and security data are handled separately from optional analytics.

7. Your rights

Where applicable, you may request access, correction, deletion, restriction and portability, object to processing based on legitimate interests, and withdraw consent. Send requests to info@eurowiza.com. You may complain to Poland's supervisory authority, Prezes Urzędu Ochrony Danych Osobowych — uodo.gov.pl — or the competent supervisory authority in your habitual residence, workplace or place of the alleged infringement.

The responsible EUROWIZA representative personally handles requests for correction, deletion and other actions concerning personal data. Requests should be sent to info@eurowiza.com.

We respond to rights requests without undue delay, normally within one month. Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal. If we have reasonable doubts about the requester’s identity, we may ask only for information necessary to confirm it.

8. AI assistant and human decisions

Under the adopted operating rules, AI Recruiter Elena may help clarify enquiries, compare them with verified vacancies, prepare replies and hand matters to a manager. Humans have priority: you may request a manager, and manager takeover stops automated conversation in the process specified by those rules.

EUROWIZA's rules do not authorise the assistant to make final hiring or rejection decisions, confirm unverified terms or determine the legal suitability of documents independently. Final agreement rests with authorised people, including the relevant partner or employer. This describes the adopted supervision model, not a claim that automation is fully active across every channel. Any expansion of AI processes requires verification of actual routing, processing providers and notices.

Effective date: 23 September 2026. 1.
