Guest invitation to a preschool in Poland

What It Is

A guest invitation to a kindergarten (zaproszenie do przedszkola/żłobka) is an official letter from a municipal or private preschool institution in Poland confirming its readiness to accept a child for a specific period or from a certain date.

The document is needed when a family plans to relocate and wants to secure a place, as well as an additional argument in the visa package or at the stage of residence legalization.

Important: the invitation itself does not grant the right to enter or reside in Poland and does not replace the conclusion of a contract with the kindergarten — the final decision lies with the consulate/institution.

When It Is Issued

  • Family relocation to Poland: confirmation of the child’s place in the kindergarten by the arrival date.
  • Visa package: supporting the purpose of travel (family reunification/family visit/relocation for a parent’s job).
  • Off-season enrollment: reserving a place if there are vacancies in the group.

What the Letter Includes

  • Institution details: name, address, REGON/NIP (for private ones), contacts, director.
  • Child details: full name, date of birth, nationality (PESEL if available).
  • Parents/guardians: full names, contacts, planned address in Poland.
  • Attendance format: full-time/part-time, schedule, group/language (Polish/bilingual if available).
  • Period: “from [date] to [date]” or “from [date] for the academic year [20XX/20YY].”
  • Financial conditions: approximate fees (according to the kindergarten’s price list), who covers them.
  • Status: preliminary confirmation of a place / conditional enrollment (after signing the contract and paying fees).
  • Director’s signature, official stamp, and validity period of the letter.

Difference Between an Invitation and a Contract

  • Invitation — confirmation of readiness to accept.
  • Contract — legal securing of a place (after submitting originals, paying the admission/insurance fee, medical forms, etc.).

What Parents Need to Provide

  • Passport details of the child and parents (scans).
  • Age and desired start date, attendance format (full/part-time).
  • Planned address/city of residence, communication language.
  • If available: vaccination/health certificates are provided at the start of attendance, not for the invitation.

How the Process Works

  1. Brief: city, dates, age, kindergarten requirements.
  2. Selection: municipal/private options, checking availability.
  3. Communication with the director: agreeing on format and start date.
  4. Issuance of the letter on official letterhead: PL/EN, sworn translation if needed.
  5. Delivery: scan immediately, original upon request (courier/post).
  6. If needed — support with signing the contract and scheduling adaptation.

Terms and Nuances

  • Municipal kindergartens operate through “rekrutacja” campaigns (usually starting in autumn/spring); outside of campaigns, places are limited.
  • Private kindergartens are more flexible with dates but may require an entry fee to secure a place.
  • The invitation text must match the application/booking in terms of dates and address — this reduces questions during submission.

FAQ

Is the original required? In most cases, a scan is enough; ultimately depends on the rules of your consulate/visa center.

Does it guarantee a place? Only a contract secures a place; the invitation is just a preliminary confirmation.

Group language? Usually Polish; some kindergartens offer bilingual groups (depending on the city).
